Tutor FAQs: Post-Sign Up

You have questions.
We have answers!

Welcome Braintrust tutors!

If you’ve made it this far, you have successfully created your profile on our platform and expressed an interest in getting matched to students either through our various school partnerships, our private tutoring marketplace, or both. Each type of engagement works a little differently, and you may have questions. So we’ve built this FAQ page to help you get going. Just scroll to the section that’s applicable to you and read on!

School Partnerships

During your sign-up process, in addition to creating your profile, you should’ve also completed your free background check (through our partner Justifacts) and linked your Stripe account. If you haven’t completed your background check, you can do so here. If you haven’t linked your Stripe account, you can do so by navigating to your “Earnings” tab and clicking “Connect.”

Apart from that, we need one last thing: your bank info. Along with your first payment, you’ll be sent a link to our payment provider, Melio, so you can enter it. We know you’ve already entered it when creating your Stripe account and apologize for the duplication.

Prior to starting school tutoring engagements, we’ll ask you to complete self-guided training in the following 4 areas: (i) Our Platform, (ii) our Virtual Classroom, powered by Pencil Spaces, (iii) Our Assessment Tools, and (iv) our Reading Curriculum (as appropriate). Please see our Training Center to begin your training.

If you have any questions as you go through training, we’re here to help! For general questions, or questions about our Platform or Assessment Tools, please click the red “Help” beacon button found at the bottom right corner of the Braintrust website. The beacon has real-time answers to most of your questions. If the answer you’re seeking isn’t there, you can click the “Ask” tab to ask your question and we’ll reply by email ASAP!

Yes. Online sessions should be delivered through our Virtual Classroom, powered by Pencil Spaces. This is a wonderful platform, with lots of unique and innovative features that have been designed to accelerate student learning (particularly for our younger learners).

The best news of all? It’s completely free. When you create your sessions, the link to your Virtual Classroom will be created automatically for you. You’ll have one constant, secure link for each of your engagements.

For questions about our Virtual Classroom, please see Module 2 in our Training Center and/or contact Imran or Marissa from Pencil Spaces.

School engagements vary and, as such, specific details (including any necessary assessments, resources, etc.) will be provided to you at the start of each engagement.

The first day of any engagement is typically meant as an introduction, so that you can build a connection with your student(s). Assessments are typically performed on day 2 or 3. If you are going to be teaching reading, the assessment will align to our Braintrust Reading Curriculum. Please see Modules 3 and 4 in our Training Center for more details on our Assessment Tools and Reading Curriculum.

Reading assessments are delivered through our partner Literably. Upon completion of each assessment for each of your students, you will receive an email from Literably notifying you that each assessment has been scored. You can then log into the Literably platform to see how your student performed, which will inform the starting level for your tutoring sessions within the scope and sequence of the Braintrust Reading Program.

Our Platform training has you covered! Please see Module 1 in our Training Center for details.

Yes. Post-session reports are valuable tools for our school partners to be able to monitor the progress of the students we support. To streamline the process for our tutors, we’ll ask you to submit one session report per student (or group of students) per week. For details on how to submit your session reports, please see Module 1 in our Training Center

Our Platform training has you covered here too! But, in short…

If a student had a planned absence, you can either delete the session (by clicking “Delete Session” inside of the session report) or you can click “No Show” inside your session report; a pop-up will appear – type your reason, make sure the “charge session” box is unchecked, and click “OK.”

If a student had an unplanned absence, you can elect to charge for the lesson. Before you make that decision though, please first reach out to the family to determine what happened; in some cases, the student could have had a valid reason for which we do not recommend to charge (e.g., family emergency). If you elect to proceed, you can follow the same “No Show” process as described above, but make sure the “charge session” box is checked. Please note that our ability to compensate our tutors for unplanned absences varies by engagement.

Policies and procedures for excessive student absences vary by engagement. In some cases, we may need to suspend and/or cancel the engagement. We always encourage you to engage your students’ parents to ensure active student participation. If excessive absences become problematic, please check the procedures for your specific engagement.

We strongly encourage you to submit your session reports by the Saturday following the week the sessions were performed. We’re a bit more strict about the end of the month: all session reports for any given month must be submitted by the first Saturday of the following month.

Weekly! Session reports submitted by the Saturday deadline each week are reviewed on Sunday, and payments are automatically processed into your bank accounts by the following Friday.

We have lots of available opportunities! We post them on our jobs board, located on the left-hand side of your Dashboard. You can view each of our opportunities, and all of the corresponding details. Please review them carefully. If you think you’re a good fit for an opportunity, you can apply for it right from your dashboard! If we match you to your opportunity (and if you’ve completed your training), we’ll email you with the good news! And remember to check back often, because we add new opportunities regularly!

Click the blue “Need Help” toggle button found at the bottom right corner of the Braintrust website; enter your message, and we’ll reply by email ASAP!

Private Tutoring

During your sign-up process, in addition to creating your profile, you should’ve also completed your free background check (through our partner Justifacts) and linked your Stripe account. If you haven’t completed your background check, you can do so here. If you haven’t linked your Stripe account, you can do so by navigating to your “Earnings” tab and clicking “Connect.” Apart from that, you’re all set!

Private marketplace matches do not require any training. Tutors are to use their own materials and programs to individualize instruction to their private match. However, we would encourage you to get to know our platform, including how to create sessions and submit session reports. It’s super easy, and this guide will help you quickly master it all!

You can choose to offer sessions in-person or online on the platform of your choice!

Yes. Post-session are valuable tools for parents and guardians to be able to monitor the progress of their students, and should be submitted after each lesson. For details on how to submit your session reports, please see our Platform Guide

If one of your students has a planned absence, you can either delete the session (by clicking “Delete Session” inside of the session report) or you can click “Cancel” inside your session report; a pop-up will appear – type your reason, make sure the “charge session” box is unchecked, and click “OK.”

If the student had an absence that was not reported within the late cancellation window you reported during sign-up, you can elect to charge for the lesson. Before you make that decision, we would encourage you to first reach out to the family to determine what happened. Maintaining a strong relationship with the families of your students is critical to the success of your tutoring!

Session reports should be submitted within 36 hours after each lesson.

Payment is processed into your Stripe account automatically upon submission of your session report, and should appear in your bank account within two business days.

[To come] By default, you will receive the hourly rate you set upon sign-up. Please keep in mind that we charge a 10% service fee each session for our marketing platform, management tools, and credit card processing, which means you’ll earn 90% of whatever hourly fee you set in your profile.

To connect with students for private tutoring, you must wait for parents to contact you through our marketplace.  On Braintrust, families will see your profile if you are a good fit for their child’s learning needs. They can reach out to you by sending an interview or session request through our platform.

You will get interview requests via email, and you can view them on your “Interview” tab as well; click to the “Requested interviews” sub-tab and click to view the details and either accept, propose a different time, or decline. After a great interview with a family, parents can book sessions with you directly through your profile. If it seems like a great match, we encourage you to suggest this to families when you speak.

You will get session requests via email, and you can view them on your “Sessions” tab as well; click the “Requested sessions” sub-tab and click to view the details and either accept, propose a different time, or decline.
